Files are the memory and backbone of a law firm. Although their contents may differ per case, their outer appearance is almost universally the same, i.e. a cardboard file with a few or many worn patches, depending on how intensively they’ve been used and for how long. But not the files at the Huver law firm in Venlo. That’s because this law firm works with Otanra files from Jalema, files that are made of heavy polypropylene and virtually indestructible. Huver explains their decision. “Until recently, there was pretty much only one system used in the legal profession – cardboard files fitted with elastic bands to hold them together when their contents became too thick. A good filing system is essential Although the digital storage of data and documents is becoming more and more common in the legal profession, work files and document-handling folders continue to be indispensable. “As long as the courts require paper documentation, paper files will remain a necessity. Mr Huver continues, “We always work with files that have this attachment mechanism. In fact, we only use the loose-leaf options when clients provide us with thick packets of documents. But once you start working with these files and organising them, you soon find yourself switching to the attached storage options. The JalemaClip is a fantastic device.”

At first, there was some resistance from the departmental secretaries who are responsible for arranging the files because it took some getting used to, but that does not compare to the time saved due to their user-friendliness and convenient organisation.”

More space with Jalema
The introduction of Otanra files at the Huver law firm was actually the result of a space problem in their archive. “It was completely filled with 4-drawer filing cabinets, with room left for only one more. So we were more or less forced to look for alternatives,” explains Office Manager Suzanne Repping. “On top of that, one of our colleagues who was responsible for filing developed serious back problems from all that pushing and pulling of heavy drawers. We turned to Jalema with this dilemma: How can we store more files in the space that we have? According to the Jalema consultant, our entire archive required only half the space. We were sceptical, but they proved it. We’ve even been able to create an additional workspace in the room.”
The secret was to replace the space-devouring 4-drawer filing cabinets with Jalema racks. Files are suspended laterally from the racks (i.e. diagonally) by means of one-point suspension. Suzanne Repping continues, “This filing system saves half the space. We now have Otanra collective files hanging from the racks, each of which holds individual document folders. We gradually replaced the cardboard files we had been using until then with Otanra fastener files.”
