  • File Box Folio: this file box is made of mini corrugated cardboard and easy to interlock. The box can be used upright or horizontally.
  • Municipal Archives File Box: these boxes are made of heavy-duty double-lined kraft cardboard. The information that is stored in this box remains dust-free. The box is easy to assemble using the included metal clips. It has a neutral pH value to optimally protect your old archive from the effects of acids. Also, the box is FSC®-certified. This means that the paper of the boxes is made of wood that comes from well-managed forests. The wood is tracked throughout the entire commercial chain, you could even trace back in which forest a specific tree stood.
  • Acid Free File Box: this file box is made of acid-free corrugated cardboard. It can be assembled easily and quickly without the use of any tools. The box complies with the ICN quality requirement number 3 for long-term storage.

How to archive?

Archiving may cost you some time, but if you do it well you will get something in return. In the end, you can easily and quickly find your documents. Next to that, it brings you peace. Make sure you do not have any documents lying around on your desk, but put them away directly. Throw out all of the concept versions and only keep the final version. By doing this, you will prevent yourself from keeping too much documents. Put older documents that need to be kept, not in your work file. This way you only have the necessary documents in your work file and you keep your work file clean.

Make sure you apply only one way of archiving. You can find a few examples below:

  • Alphabetical order: you sort your documents on name, in alphabetical order.
  • Address archiving: you classify documents on address. A lot of doctors use this way of archiving.
  • Date archiving: you sort your documents on date, from oldest to latest.
  • Colour archiving: you can use different colours of maps for different subjects.
  • Code archiving: give each client a number, from 0001 to 1000 and so on.

Why archive?

Next to a clean desk, there are more reasons why you should archive your documents. At first, there are legal obligations that say that some documents must be kept for a few years, for example financial and juristic documents.

By archiving your documents, you spare yourself some time. You do not have to waste time on searching documents anymore. If you archive regularly, you will spend less time on archiving your documents than if you archive your documents twice a year. Next to that you increase your performance. If you work at a clean desk, you probably will solve a problem faster than someone who works at a messy desk.

Make a good start of the new year by archiving your documents, this way you will have a clean and ordered desk from the beginning, so you can work with a healthy mind!
